For consultancies sending students abroad from India
SmartX CRM alternative for study-abroad consultancies
SmartX is a good product at a fair price. Before you replace it, it is worth knowing that most consultancies looking for an alternative are trying to fix something a CRM was never built to do.
In short
SmartX CRM is a study-abroad CRM built specifically for overseas education consultancies, with application tracking, visa management, sub-agent tools and a student portal. It publishes two pricing models that do not agree with each other, one in dollars per year and one in rupees per user per month, so ask for a written quote for your own headcount. Most people searching for an alternative do not actually need a different CRM: they need the thing no CRM does, which is answering the enquiry. NeuraRush is not a CRM and does not replace SmartX. It answers, qualifies and books every enquiry in seconds at any hour, then writes the record into the CRM you already run.
What SmartX genuinely does well
Written from their own product and pricing pages, checked 8 August 2026. We compete with them on one thing and it is not any of these.
-
It is built for this exact business
Multi-country application tracking, visa management, a university course finder, sub-agent management and a student portal. Not a general CRM with an education skin. If you have tried running a study-abroad desk on a generic CRM, that difference is the whole reason this category exists.
-
It is priced within reach of a small consultancy
Whichever of their two published price lists applies to you, this is not enterprise software pricing. For a consultancy that needs a real system of record, it is reasonable value and we are not going to pretend otherwise.
-
It has a WhatsApp story
Automated communication over email, SMS and WhatsApp is listed as a feature, with WhatsApp offered as a paid add-on on their plans. Anyone telling you SmartX has no WhatsApp is not being straight with you.
Their pricing, since nobody else prints it
SmartX publishes two price lists that do not agree with each other, so it is worth knowing both before you take a quote.
Their pricing page lists EduCa plans in US dollars per year: Solo at $999, Reach at $1,899 and Network at $2,999, with a WhatsApp add-on at $200 a year. Promotional discounts were showing against each. Their own guide pages instead quote 2,999 rupees per user per month for the entry tier, and describe flat per-user-per-month pricing across their products. Both checked on 8 August 2026.
The gap between those two matters more than either number. A flat annual plan costs the same whether you have three counsellors or twelve. Per user per month does not, and at twelve counsellors it is a different conversation entirely. So ask for a written quote for your actual headcount, and ask outright which model you are on.
What we will say plainly, because it cuts against us: on either list this is not enterprise pricing, and for a consultancy that needs a real system of record it is reasonable value. If you came here hoping to hear that SmartX is expensive, we would rather lose the point than mislead you.
So why are you looking for an alternative?
In our experience there are three reasons, and only two of them are about SmartX.
Fit or price. You want fewer modules, a different interface, or a lower bill. Then you want a different CRM, and the honest recommendation is to shortlist the other study-abroad CRMs and compare them on the modules you actually open. That is not us. We put one of those side by side on our Meritto comparison, conceding the same things.
Your team does not use it. A CRM nobody updates is worse than a sheet everybody does. Sometimes that is the product and sometimes it is the process, but replacing the tool without changing the habit tends to reproduce the problem in a new interface.
Enquiries are still being lost. This is the one we hear most, and it is the one where changing CRM will not help. The records were never the problem.
Every enquiry was captured. Every one was filed. Nobody replied until morning.
A CRM is a system of record. It stores the student, tracks the application and reminds a human to follow up. It does not answer a message at 11pm, because that is not what a system of record is for. Swapping SmartX for another CRM gets you a different filing cabinet and the same silence overnight.
Side by side, including where we lose
We are the newer and smaller company here, and on most of these rows the answer for us is no. Pretending otherwise would not survive your first call with us.
| What you need | SmartX CRM | NeuraRush |
|---|---|---|
| A study-abroad system of record | Yes, and it is their core product | No. We write into yours |
| Multi-country application and visa tracking | Yes | No |
| Sub-agent management and a student portal | Yes | No |
| University course finder | Yes | No |
| WhatsApp messaging and campaigns | Yes, listed as automated communication with WhatsApp as a paid add-on | Yes, included |
| Replies to a new enquiry in seconds at 2am | No | Yes |
| Reads free text and asks the next qualifying question itself | No | Yes |
| Answers the phone | No | Yes, on the Core plan |
| Turns a missed call into a WhatsApp conversation | No | Yes |
| Books the consultation on the counsellor calendar | No | Yes |
| Who runs it day to day | Your team, after onboarding and training | We do. No dashboard, no training |
SmartX's column is taken from their own product and pricing pages, checked 8 August 2026. Four of the eleven rows are a flat no for us. If those four are what you need, buy the CRM.
The setup we would actually recommend
For a consultancy already running SmartX, replacing it is usually the wrong move.
- 01
Keep the CRM you have
Your records, applications, visas and sub-agents stay exactly where they are. No migration, no export, no retraining.
- 02
Put the answering in front of it
Every WhatsApp enquiry and missed call is answered in seconds, at any hour, and qualified on destination, intake, budget and course level.
- 03
The consultation is booked before anyone opens a laptop
The student picks a slot and it lands on the right counsellor's calendar, with the alert on their own WhatsApp.
- 04
The finished record lands in your CRM
Qualified, scored and attributed, pushed into the system you already run. Your counsellors carry on as they are.
We build it and we operate it, so nothing here adds a tool for your team to learn. More detail on the WhatsApp automation page and the AI voice agent page, and if you are still deciding which category you need at all, start with CRM or automation.
Questions owners ask
Is NeuraRush a SmartX CRM alternative?
Not a like-for-like one, and it would be dishonest to claim otherwise. SmartX is a study-abroad CRM with application tracking, visa management and sub-agent tools. We are none of those things. We are an alternative to the problem most people are actually trying to solve when they search this, which is enquiries going unanswered.
What does SmartX cost?
It depends which of their price lists you are shown, because SmartX publishes two that do not agree. Their pricing page lists EduCa plans in US dollars per year: Solo at $999, Reach at $1,899 and Network at $2,999, with a WhatsApp add-on at $200 a year. Their own guide pages instead quote 2,999 rupees per user per month for the entry tier and describe flat per-user-per-month pricing across their products. Both were checked on 8 August 2026. Ask them for a written quote for your actual headcount, and ask specifically whether you are being charged per user or per year, because the answer changes the total a lot once you pass three or four counsellors.
Is SmartX expensive?
Not for what it is, and we are not going to argue otherwise. It is reasonable pricing for a purpose-built system of record. The one thing to check is which model you are quoted on, because a flat annual plan and a per-user-per-month plan diverge sharply once you have more than three or four counsellors. If cost is your reason for looking elsewhere, look at the cheaper study-abroad CRMs rather than at us, because we are not solving the same problem.
Does SmartX not already do WhatsApp?
It does. Automated communication over email, SMS and WhatsApp is a listed feature and WhatsApp is offered as a paid add-on. The distinction worth understanding is what the channel does on its own. In a CRM, WhatsApp is where your counsellor sends and receives messages and where campaigns go out. It does not hold a two-way conversation with a student who typed something unexpected at 11pm and turn it into a booked call.
Can I run both?
Yes, and that is usually the right answer. Keep SmartX as the record and let us answer, qualify and book in front of it. We push the finished record into the CRM you already run, so nothing is migrated and nobody changes tools.
When should I not talk to you at all?
When your enquiries are already answered within a few minutes, including the ones that arrive at night. If that is true, the gap we close is already closed. Measure it before you believe it: check the time to first real reply on everything that came in after 8pm last week.
Find out whether you need a different CRM at all
Book a 15 minute call. We will look at what is actually leaking, and if the answer is that you need a CRM rather than us, you will hear that instead of a pitch.
