That call is the most valuable thing that happens to a consultancy all week, and it arrives at the worst possible moment: while a counsellor is in a session, during lunch, at 9pm, on a Sunday after an education fair.

Nobody calls back fast enough. The number rings out, the student calls the next consultancy on the ad, and the enrolment is decided before anyone in your office knows the call happened. A widely repeated survey figure, directional rather than measured, puts it at around 78% of buyers going with whoever responds first, and on a phone line "first" means the first ring, not the next morning.

Adding a receptionist does not fix it either. A receptionist takes a name and a number. The student still waits for a counsellor to call back, and by then the moment has passed.

Where a voice agent is the wrong tool

Being straight about this is more useful than pretending otherwise.

  • It should not answer your main helpline

    Your existing number carries enrolled students chasing visa updates, parents with fee questions and the occasional complaint. Those calls want a human immediately, and an AI answering them is a bad experience and a support risk. The voice agent belongs on a dedicated enquiry line, the number on your ads, your website and your Google listing, where every caller is a new lead.

  • It should not hold a caller who wants a person

    "Can I speak to someone" ends the qualification and transfers to a counsellor, or takes a callback promise after hours. There is no maze and no repeated menu.

  • It does not replace the counselling conversation

    It replaces the fifteen minutes of intake before it. Course shortlisting, university fit, and the conversation with a nervous parent are the job your counsellors are good at, and the point of the agent is that they get more of those and fewer voicemails.

  • If most of your enquiries already arrive on WhatsApp, start there

    Voice is the right first move when you run radio, print, hoardings or a Google Business listing that makes the phone ring. If your ads drive click-to-WhatsApp, the WhatsApp engine will move your numbers further and faster.

Getting an Indian number for it takes days, not minutes

This is the part nobody writes down, and it decides your launch date. An AI voice agent needs a phone number it can answer, and in India that number cannot simply be bought from a foreign voice platform. It has to come from a licensed Indian telecom provider. In practice a +91 lead line means a SIP trunk with an Indian telecom provider, and every Indian provider runs KYC on the business before the number goes live.

A real +91 number takes a few days

Provider onboarding, KYC documents, then the trunk is connected to the agent. It is paperwork, not engineering, and we do it with you.

An instant Indian number is not one

Anyone offering you a +91 line in minutes is routing your students to a foreign number, which shows up as an international call, gets fewer pickups on outbound, and reads as untrustworthy to a parent.

DND rules apply to outbound, not to answering

A voice agent that answers calls people chose to make to you is on the safe side of the rules. Cold calling purchased lists is a different activity with a different rulebook, and it is not what this is.

The call ends. The follow-up does not.

A phone call leaves nothing behind. The student hangs up with a slot in their head and no link, no address and no written confirmation, and no-shows follow.

So every call ends on WhatsApp. The student gets the confirmed slot, a reminder the day before and a reminder on the morning, and the counsellor gets the lead summary on their own WhatsApp. Missed calls run the same way in reverse: if the line is missed for any reason, the caller gets a WhatsApp message within seconds and the qualification carries on there.

One rule shapes all of it. A phone call does not open a WhatsApp session, so the first message after a call has to be a template approved by Meta in advance. Will students realise they are talking to an AI?

Most do, and it matters less than owners expect, because the student called to get an answer and got one at 9pm. What loses trust is a system that traps someone who asks for a human, so ours transfers instead.

Can I get an Indian +91 number for it?

Yes, but it has to come from a licensed Indian telecom provider, and that means KYC paperwork and a few days rather than a few minutes. A foreign voice platform cannot issue you a real +91 number on the spot. Plan the number before you plan the launch date, because it is the long pole.

What happens when a caller asks for a person?

The agent stops qualifying and transfers to a counsellor. After hours it takes a callback promise and alerts the counsellor on WhatsApp.

Does it work with Indian accents and names?

It runs on Indian-English speech recognition and is tuned on your own student names, cities and course terms before it goes live. Full regional language coverage is a Premium add-on rather than something we claim by default.

Does it replace my counsellors?

No. It replaces the intake minutes before the counselling conversation and the calls nobody was picking up. Counsellors get more consultations, already qualified.

How much calling is included?

The Core plan carries a fair-use allowance of around 500 minutes a month, which covers most single-office consultancies. Beyond that we scope it to your volume on the call.
